SolutionsAI front desk & patient access

An AI front desk that answers, routes and books, and knows when to hand off.

Routine questions, incomplete intake, and follow-up requests can pull staff away from the people in front of them. ClinicalGTM helps you design a more consistent process for receiving, organizing, and following through on that work.

Every call answered.

After hours, at lunch, and when the front desk is busy, calls and chats are answered from information your practice has approved: hours, location, services, preparation, and how consultations or memberships work.

Illustrative workflow

Call or chat to staff follow-up

  1. Call or chat, Patient
  2. Disclosure, System
  3. Approved answers, System
  4. Request captured with summary, System
  5. Routed to staff, or booked where supported, Staff
  6. Staff follow-up, Staff
  7. Measured, Staff

The right person, with the details.

Requests go to the right staff member with a short summary, so nobody has to call back just to ask what the caller needed. Appointments are booked directly where your practice-management system supports it. Otherwise the request goes to a staff queue.

It knows where to stop.

No clinical advice, no triage, no patient-specific answers. Clinical questions go to staff. If a caller describes an urgent concern, it tells them to call 911 or go to the nearest emergency room.

Callers are told up front.

Each call opens with a short notice that an AI assistant is answering and that the call may be recorded, with wording your practice approves with its counsel.

Built on your phone system.

The voice assistant runs through a provider we source and set up, and connects to your existing number where your phone system supports forwarding or integration.

What we measure.

  1. Calls answered
  2. After-hours requests captured
  3. Time to staff callback
  4. Requests completed or booked

Direct booking is included only where an authorized scheduling connection has been confirmed and tested.

Questions

Can an agent book appointments or answer calls?

Those functions can be explored as a scoped project. They depend on the phone, messaging, and scheduling services available, the access they permit, and agreed human handoff rules.

Can you work with a small clinic or a health-related business that is not a physician practice?

Yes. We scope work around the process and its value to the business. Relevant services may include intake, staff knowledge, document preparation, and task coordination as well as clinical documentation where appropriate.

How do you handle patient information?

We define the data flow, access, retention, relevant agreements, and review responsibilities before patient information is used. Please do not send patient information through this website's contact form or ordinary inquiry email.

Which part of the work needs to work better?

Bring one recurring problem to a no-cost introductory consultation. We will discuss your current process and whether a focused AI engagement makes sense.
